We are seeking a highly organised, discreet, and proactive Personal Assistant to support the effective functioning of a busy Executive Office within a professional services environment.
This is a high-trust, high-impact role that requires strong judgement, attention to detail, and the ability to operate with autonomy in a fast-paced, confidential environment.
The Role
You will provide comprehensive administrative and operational support, including:
- Managing a complex and dynamic calendar, ensuring efficient scheduling and prioritisation of meetings and commitments.
- Coordinating meetings end-to-end, including agenda preparation, logistics, minute-taking, and follow-up on action points.
- Acting as a central communication hub, screening, prioritising, and drafting correspondence across internal and external stakeholders.
- Preparing high-quality documentation, presentations, and briefing materials to support business activities.
- Supporting financial and administrative processes, including expense reporting and invoice coordination.
- Maintaining structured, secure document management systems, ensuring compliance with GDPR and internal policies.
- Overseeing the day-to-day running of the office environment, ensuring professionalism, organisation, and efficiency.
- Managing stakeholder interactions, including clients, service providers, and internal teams, with a high level of professionalism.
- Coordinating domestic and international travel, including detailed itineraries and logistics.
- Supporting audits, regulatory reviews, and strategic initiatives as required.
- Assisting with events, meetings, and business-related activities, ensuring seamless execution.
The Profile
- 3–5 years’ experience in a Personal Assistant or Executive Assistant role supporting senior leadership.
- Strong organisational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to produce high-quality business documentation.
- High level of discretion, professionalism, and integrity.
- Proactive, solutions-driven approach with strong attention to detail.
- Confident in dealing with senior stakeholders and external parties.
- Strong proficiency in Microsoft Office and digital collaboration tools.
- Sound understanding of confidentiality, data protection, and professional standards within a corporate environment.
